Export WhatsApp receipts to QuickBooks or Xero (CSV)

Once receipts are reviewed and accepted, the last mile is getting them into your accounting software. CSV export is the most compatible path for bookkeepers using QuickBooks or Xero.

Why CSV first

Direct API integrations are powerful but heavy for a pilot. CSV lets you control mapping, handle multiple clients, and import into spreadsheets when you need a sanity check before posting.

Typical flow in WhatsBook AI

  1. Clients send receipt photos on WhatsApp.
  2. AI OCR fills vendor, amount, date; you review in the Work queue.
  3. Click Accept on each correct receipt (or bulk-accept when ready).
  4. Open Settings → Download CSV (or export from the Work view).
  5. Import the CSV into QuickBooks, Xero, or Excel using your firm's column mapping.

Tips for clean imports

Fix amounts and dates before accept — the CSV reflects accepted data. Use consistent categories during review so GL mapping is easier on import.

Recordkeeping

Keep source images in WhatsApp and accepted rows in your books. The IRS recordkeeping guidance applies to how long you retain supporting documents — digital receipts count when they are readable and tied to the entry.
