AI bookkeeping workflow on WhatsApp

Step 1 — Intake on WhatsApp

Clients send receipt photos to the number they already use. Your tool links to that WhatsApp account and listens for new images — no client app install.

Step 2 — OCR + structuring

AI receipt scanning extracts vendor, amount, date, and currency. Good systems also attempt client matching (which business is this expense for?) and flag possible duplicates.

Step 3 — Work queue

Pending receipts land in a single review screen. You edit fields, link clients, pick categories when needed, and reject non-receipts.

Step 4 — Accept & export

Accepted receipts become your source of truth for the month. Export to CSV for QuickBooks or Xero when you close the period.
